How Do I Prepare My Workshop for an Equipment Safety Inspection?

The prep that matters takes about fifteen minutes
Most workshops treat an equipment safety inspection as something that happens to them. The ones that get through it quickly treat it as something they can set up for, and the setup is short.
If you are asking how do I prepare my crew and workshop for an equipment safety inspection, almost all of the answer is: know where the gear is, and know how old it is. Everything else is detail.
Get every assembly in one place
The inspection covers gas and welding equipment — welding machines, regulators, hoses, blowpipes, mixers, cutting attachments, flashback arrestors and non-return valves. Anything that is out on a job on the day does not get tested, and becomes either a second visit or a drop-off at the branch.
So the day before:
- pull portable trolleys and carts back into the workshop
- check the site vehicles — gear lives in utes and gets forgotten
- make sure fixed machines are reachable, not walled in behind stock or a part-built job
- have the machines plugged in and switchable, because electrical test and tag is part of it
A shop with six oxy-fuel sets in one bay is a fast morning. The same six spread across a yard, a mezzanine and two utes is a long one.
Find the service history before the day
The question that stalls inspections more than any other is how old is this?
Every item has a five-year replacement ceiling. When the tag is gone, the label has worn off and there is no record of when it came into service, that becomes a judgement call — and the safe judgement is usually to take it out of service. Workshops lose serviceable equipment that way, purely because nobody could show when it was bought.
Worth digging out beforehand: previous inspection tags or reports, purchase invoices for any gear bought in the last few years, and any records from a prior supplier. If you inherited equipment with the business or bought a shop's gear secondhand, say so up front rather than letting it surface mid-inspection.
Flag anything that has had a flashback
This is the one thing that genuinely changes the scope of the visit, and it is the one thing a workshop can forget to mention.
A flashback means the affected equipment needs testing then — not at the next scheduled date. And it is rarely just the arrestor. The hose, regulator and mixer in that assembly may all have been heat-affected, so the whole train needs looking at rather than the one component that visibly did its job.
If there has been a flashback since the last visit, even a minor one that everybody shrugged off, say so before the testing starts. It is far cheaper to scope it in than to discover it afterwards.
Tell your crew what is happening
The inspection is on the equipment, not on the welders. Nobody is being assessed, nothing anyone welds is being judged, and no tickets are being checked. That is worth saying out loud, because crews assume otherwise and it makes them unhelpful exactly when you need them pointing at where things are kept.
What does help from the floor: someone who knows which trolley is which, which machine has been playing up, and which hose got replaced last month. That person is worth more to the visit than any document.
Have someone who can make a call
When something fails, a decision follows — repair, replace, or withdraw from service. If the person who can authorise that is offsite and unreachable, the item sits unresolved and the record stays open.
It does not have to be the owner. It has to be someone who can say yes.
What "ready" looks like
- every assembly in the building and accessible
- machines plugged in and switched on
- previous tags, reports or invoices to hand
- any flashback since the last visit flagged in advance
- one person on the floor who knows the gear
- one person reachable who can approve a repair or replacement
That is the whole list. Do it and the visit is a morning; skip it and it becomes two visits and a set of open questions.
After the visit
You get tagged equipment and a record of what was tested and when. Keep that record somewhere you can find it in a hurry, because the moment it matters is usually the moment an insurer, auditor or head contractor asks — and that is never the moment you have time to go looking.
Regulators and hoses come round again in six months. Flashback arrestors are yearly, under AS 4603. Putting both in the calendar the day you get the report is the cheapest thing on this page.
